What should I do if an invoice is "Rejected"?

When an error is detected on your invoice, it may be assigned a "Rejected" status following the checks performed by SY after its submission on the portal. This status only appears if the invoice was sent by email, uploaded directly to the portal, or entered manually.

Common reasons for rejection include:

  • The document is out of scope (e.g., a submitted PDF that is not an invoice)
  • The document is illegible or damaged
  • The document is handwritten
  • The document is not eligible for digitisation (missing or incorrect data)
  • The PDF is password-protected or in an unsupported format
  • The digital signature certificate is invalid
  • The signature verification service is unavailable

In any of these cases, the invoice has not been digitised and has not been forwarded to your customer. You must resubmit a corrected invoice. This can be done from:

  • Your information system;
  • The portal (if the upload or email submission feature is enabled).

To help you manage invoices with errors, several features are available within the portal:

  • View the rejection reason from the invoice tracking screens: 
    1. Click on the relevant invoice row — a History button will appear on the left. Click it to open the invoice history, which includes the rejection reason.
    2. Hover over the "Rejected" status to display an explanatory tooltip.
    3. Click Manage Columns, then select Reason for rejection to add a dedicated column to your view.
  • Mark the invoice as Read to acknowledge that the error has been noted: 
    1. From the Supplier Invoices / Buyer Invoices menu, click Invoice Tracking.
    2. In the invoice list, click on the relevant invoice row.
    3. Select Mark as Read / Unread.
  • Set the status to "Rejected (Resolved)" once you have issued the corrected document. This notifies your counterparty that the invoice has been dealt with: 
    1. From the Supplier Invoices menu, click Invoice Tracking.
    2. In the invoice list, click the three-dot icon to the right of the relevant invoice row.

Select Mark as Resolved. The invoice status will change from "Rejected" to "Rejected (Resolved)" and will no longer appear in the list of rejected invoices.
